What is a stock take? How to check physical stock

A stock take is the process of counting physical inventory and then comparing it with your stock records. The goal isn't just to find discrepancies, but to understand why they happen and improve your recording process.

Set a time for the check

Choose a time when the movement of goods can be controlled. For small businesses, checks can be done by category or periodically so store activity doesn't have to stop for too long.

Prepare a product list

Use a consistent product list so counters don't create new names for items that are actually the same. Barcodes or product codes can help with identification if they're used in your operations.

Count the physical stock

Count the goods that are actually available. Separate damaged goods, returns, or items unfit for sale so the results don't mix different inventory conditions.

Compare with your records

Find the products that have discrepancies. Don't change the numbers right away without checking. Trace purchases, sales, transactions not yet entered, quantity input errors, or other movements of goods.

Document corrections

If a correction is needed, save the reason and time of the correction. A clear history helps prevent the same problem from recurring and makes the next check easier.
